Privacy notice
UsherKit is a seating and door check-in tool for event agencies, made by Novas Pvt Ltd in Malé, Maldives. This notice explains what we hold, why, and for how long.
Who is responsible for what
There are two kinds of data in UsherKit, and the roles differ:
- Guest lists. The agency (or organiser) that uploads a guest list decides who is on it and why. The agency is the controller of that data. UsherKit is the agency's processor: we hold and use guest names only on the agency's instructions, to seat people and run the door.
- Accounts and enquiries. For the people who sign in to UsherKit, and for anyone who writes to us through the contact or request-access form, Novas Pvt Ltd is the controller.
Data-processing statement
When an agency uses UsherKit for an event, we process guest data on its behalf as follows:
- What: guest names, an optional detail to tell two people with the same name apart (such as a department), party size, table and seat, and check-in times.
- Why: only to seat guests: to show each guest their own table, to let the agency's ushers find and check in guests, and to show arrivals to the agency.
- Who sees it: the agency's own workspace members and the usher tablets it sets up. A guest's phone only ever receives the table for the name they searched, never the list. The lobby room screen shows table counts, and names only if the agency turns them on.
- How long: guest data (names, details, seats and check-ins) is deleted automatically 90 days after the event date. An event with no date is never deleted automatically. A workspace owner can delete an event's guest data sooner, or delete the whole workspace, which removes its events, guest lists, check-ins and floor plans at once. The event itself, its floor plan and tables are kept after the guest data goes, so the room can be reused.
- Export: any member of the agency's workspace can download its guest lists as a spreadsheet (CSV) at any time before they are deleted.
- Never: we don't sell guest data, use it for advertising, or use it to train models, and we don't contact guests.
- Separation: each agency's workspace is kept apart from every other.
- Help: we help agencies answer guests' requests to see, correct or delete their data, and we tell the affected agency without undue delay if we learn of a breach involving its data.
Accounts
For people who sign in, we hold your name, email address, a hashed password (or the Google account you sign in with), the workspace you belong to, and basic security logs. We use them to run your account and to email you about it (verification, invitations, password resets). We keep them while your account exists.
You can delete your account yourself, from "Your account" in the account menu: we delete your name, email, password and sessions at once, and remove your name and email from any request you sent us to raise your workspace's limits. Invitations you sent stay valid only if your workspace still has another owner. If you're the only owner of a workspace with other members, make someone else an owner first; if you're the only person in a workspace that has events, delete the workspace first (an empty workspace is deleted along with your account). Deleting a workspace removes its events and guest data, but not the accounts of its members: each can then join another workspace, start a new one, or delete their account.
Contact and request-access forms
If you write to us from the home page, we keep your name, email, agency, phone if you give it, and your message, to reply and to set up access. We delete them on request, and otherwise review them at least once a year.
Cookies
UsherKit uses only the cookies it needs to work: a session cookie, a security token for forms, and on usher tablets a cookie that unlocks usher mode. No advertising or tracking cookies.
Where data is stored
On servers we operate for UsherKit. Uploaded floor plans and guest lists stay with the event they belong to.
Your rights and contact
If you were a guest at an event, the agency that ran it is the best first contact; we will help them. For anything else, or to ask what we hold about you, write to us through the contact form.
